Privacy Policy

CitadelSync is a school management platform. Schools use it to manage students, results, fees, attendance and communication. This page explains what information the platform handles and how it is protected.

Who is responsible for the data

Each school decides what information about its students, parents and staff is entered and why. The school is the controller of that information. CitadelSync processes it on the school's behalf, only to provide the service.

What we store

• Account details: name, username, email, phone number, role and school.
• Student records entered by the school: class, admission number, date of birth, guardian details, results, attendance and fee records.
• Sign-in and security records: sign-in times, IP addresses and an audit trail of important actions.
• Messages between users (stored encrypted) and in-app notifications.
• Images uploaded by the school or users, such as logos and profile photos.

How it is protected

• Passwords are stored as one-way hashes. They can never be read back.
• Each school's data is kept separate from every other school's data, and access depends on the user's role.
• Messages are encrypted before being stored.
• Connections to the platform are encrypted (HTTPS).
• Important actions are logged so that misuse can be investigated.

Who can see it

Only people the school has authorised: for example teachers see the classes they are assigned to, and parents see only their own children. We do not sell personal data and we do not use it for advertising.

Payments

School subscription payments are processed by Paystack. CitadelSync does not store card numbers.

Retention and deletion

Data is kept while the school uses the platform. A school can ask for its data to be exported or deleted by contacting us.

Your rights

You can ask the school (or us) to access, correct or delete your personal information, in line with the Nigeria Data Protection Act 2023.

Changes

We may update this policy and will change the date above when we do.
